The challenge

A serviced office sells two things: long contracts and short bookings. The short ones are lost because somebody has to answer the phone. The long ones are lost because the visitor cannot see what is actually available.

What we built

• Booking in four steps

  A basket for several bookings and card payment directly on the site.

• Room locking during booking

  Two people cannot book the same room at once, and a saved draft means an abandoned booking can be picked up again.

• Interactive floor plan

  Per floor with clickable rooms, status, size, capacity, a photo and directions, including a choice of stairs or lift.

• Live data from the property system

  Available rooms and meeting spaces are fetched in real time, with a fallback mode if the connection is down.

• Eight languages

  A language prefix in the address and AI translation of content coming out of the system.

• Events module

  Publishing, sign-up, paid events and invoicing.

• Live chat

  With proactive opening and an admin view of its own.

• Reviews

  Google reviews are fetched and displayed automatically.

• A purpose-built admin panel

  Around thirty views: prices, packages, events, contacts, quotes, campaigns, A/B tests, translations, analytics and error logs.

Worth mentioning technically

The site replaced an earlier website without losing rankings: addresses were preserved, old pages got permanent redirects and removed pages returned the correct status code. A health check every five minutes covers both the API and the payment flow, with Slack alerts, so an outage is spotted before the customer spots it.

The result

Meeting rooms and day offices sell without anyone answering the phone. Availability is accurate, because the number comes from the same system as the contracts. The owner can see in real time where leads are coming from.
